Everything You Need to Know About Email

May 24, 2019

Email has become the standard for communication for many years now, and every minute millions of emails are sent. However not all email options are the same, and there are many different choices to make when it comes to email. We are going to cover these, and help you choose the best email service!

Email
address

The first thing you will need to decide is which email address you are going to use. Gmail is probably the most popular email service in the world. This will give you an email address with an @gmail.com. You can also choose from a large variety of different services including, Microsoft, Yahoo, Apple, and many more. The other option is if you own a domain name, you can have your email at your own domain name. For example, if you own johndoe.com. You could have an email at John@ johndoe.com. This is great for businesses that have a website. It allows you to get almost any email address that you want. You can even set this type of email address up through G Suites, to use the Gmail interface, but your own custom email address.

Email
Program

The other thing you need to do is decide how you are going to access your email. The most common way that people do it, is by using the web portal, or their smartphone. These are both fine and can be great free options. The other choice is using a program on your computer like Outlook. This allows you more control and power of your email. These require a bit more configuration, but for a business, this is probably the best option. If you need help, just give W.A.C.D. a call and we can help you set it up.

Email
security

An important thing that you need to do is keep your email secure. The most secure setup to take is to use a complex and long password. While it may be a pain to type this in, we would then suggest getting a password management tool to keep your passwords in so you don’t have to remember a long password. Also don’t open attachments from any emails that people you don’t know, or that seem at all weird. If you aren’t sure, and you do know the person, then contact them to ask if they actually sent you an attachment. Also, be extremely careful with what you send to people. If you get an email from someone that seems abnormal, then we would suggest double checking where the email is actually coming from. It is common for spam or malicious emails to come from an address that is very close, but not exactly the same as someone in your contacts. Email is one of the most common ways that people get viruses, so always be extra careful.

Phone
email

When you use email on your smartphone, it should automatically sync with your main email to keep everything consistent between the different devices. This is is an IMAP email system. POP3 means that only one version of the email exists. This is very unpopular and rarely used anymore thankfully. We can also help set up phone email since if your email isn’t one of the main email services, it can sometimes be a bit confusing, or at least not everyone understands how to do it.
